Heatherwood Homeowner’s Association Meeting Minutes September 19 2007
Board Member Attendees: Marilyn Hardy, Dana Cagle, Don Cisneros, Dena Kivirahk, Nancy Mathisen, Jeff Jones, Jeri Ziglar, Mary Forrest

Marilyn called the meeting to order at 7:02 pm Marilyn reviewed agenda.
Motion made by Nancy to approve August Minutes as amended 2nd by Jeri In favor: unanimous
Motion made by Jeff to nominate Pat Waldrip to the board 2nd by Dana In favor: Dana, Jeff, Marilyn Oppose: Jeri, Mary, Don, Jeanet (proxy by Don) Motion did not carry
Motion made by Marilyn to nominate Don Byers to the board, 2nd by Jeff In favor: Dana, Jeff, Marilyn, Nancy Oppose: Mary, Don, Jeri and Jeanet (proxy by Don) Motion did not carry
Motion made by Jeff for property manager to send certified letter to B&B regarding issues with lawn services. 2nd by Nancy In favor: unanimous
Manager will get Bids: to replace missing Phoetenias on Coit simple stone wall on Biltmore and Dalston
Treasurer’s report was presented by Dana.
It was discussed that the final vote for a manager would be held at a regularly scheduled meeting. No further discussion or decision was made and no vote was taken regarding the issue.
Board is interested in collections. Check with lawyer about collection agencies to hit credit. Motion to send lien letters to all homeowners delinquent in payments greater than 90 days. Included in that letter a statement that if payment not received action will be sent to collection agency.
Additional letter on pending foreclosure to those homeowners that have past due amounts equal to or greater than the legal dollar amount for foreclosures. 2nd Nancy In favor: unanimous
Driveway report – nothing further Motion made by Jeri that all future bids include names of the companies and/or DBA. 2nd Mary In favor: unanimous
Motion made by Dana to take the lowest bid for tree trimming approximately 33 trees leaning against fences, and near sidewalks as well as hauling off the trash. 2nd by Jeff In favor: Nancy, Marilyn, Dana, Jeff Oppose: Jeri, Mary, Don, Jeanet (proxy by Don) Motion did not carry
Motion made by Dana to have Moore Sprinkler check on the 5 known areas with controllers, valve covers, fix the problem is no more than $2000. 2nd by: Jeff In favor: Unanimous
Jeff volunteered to monitor the website email and to update it with the current by-laws. The website would also be modified so that users could read Board meeting minutes from either the web or via download.
Jeff volunteered to post signs on Council/Legacy, and Dalston/Coit locations. Jeri post sign on Denham Way/Coit location.
Motion made by Dana to have the November meeting on Wednesday November 14; location to be determined 2nd by Jeff In favor: Unanimous
Motion made by Don to tentatively schedule the December meeting to Wednesday December 12; location to be determined. 2nd by Nancy In favor: Unanimous
